Role Overview
We are seeking an experienced Information & Knowledge Management (IKM) / SharePoint Administrator to support knowledge management operations and administrative coordination within an international organization in The Hague. The successful candidate will be responsible for maintaining knowledge repositories, enhancing SharePoint portals, managing documentation processes, and supporting internal collaboration and information governance practices.
The role requires strong expertise in SharePoint administration, document management, and information organization, combined with excellent communication and coordination skills.
Key Responsibilities
Knowledge Management & SharePoint Administration
- Maintain and update internal knowledge repositories (e.g., SharePoint portals and document management systems) to ensure information is accurate, structured, and easily accessible.
- Update and enhance CQO SharePoint portals by collaborating with internal stakeholders to gather requirements and implement improvements.
- Design and develop intuitive SharePoint sites that support effective collaboration and information sharing.
- Manage SharePoint permissions, workflows, document libraries, and content management structures.
Document Management & Records Control
- Develop, implement, and maintain document filing systems (digital and physical where required).
- Ensure proper classification, tagging, and archiving of documents according to established taxonomies and retention schedules.
- Maintain CQO CIS assets inventory and ensure compliance with organizational and data protection policies.
- Monitor document lifecycle management and ensure proper records governance.
Administrative Coordination & Support
- Provide administrative support including scheduling meetings, preparing agendas, taking minutes, and tracking action items.
- Support preparation of internal communications such as newsletters, presentations, briefing materials, and internal updates.
Training & User Support
- Provide user guidance and basic training to staff on knowledge management tools and administrative systems.
- Act as a point of contact for SharePoint-related user support and best practices.
Continuous Improvement & Quality Assurance
- Identify gaps in information flow and recommend improvements to knowledge management processes and collaboration practices.
- Ensure documentation and records comply with internal quality standards and regulatory requirements.
