Contract
We are seeking a Principal Assistant / PMO to support strategic planning, project monitoring, and executive-level coordination within a dynamic and international environment in Braine-l’Alleud, Belgium.
The successful candidate will provide high-level administrative and project management support, ensuring effective coordination of strategic initiatives, stakeholder engagement, and reporting activities. This role requires strong organizational skills, the ability to manage sensitive information, and experience supporting senior leadership in a structured governance environment.
Responsibilities
Strategic Planning
-
Support the development and implementation of policies, processes, standards, and guidelines related to strategic planning.

Contribute to the communication and execution of strategic plans and related change initiatives.

Assist stakeholders in adhering to strategic management approaches and timelines.

Compile and analyze information to produce reports and insights supporting strategic management processes.
PMO & Project Monitoring
-
Monitor Key Performance Indicators (KPIs) for projects and services execution.

Support Business Unit Project Managers in tracking project progress, resource utilization, budget adherence, and timelines.

Prepare reports and statistical analyses for Business Unit leadership.

Consolidate ServiceNow and EBA statistical reports and track submissions to ensure alignment with expectations.

Support coordination with the NIMSC RPMO for resource planning alignment.
Stakeholder & Executive Coordination

Maintain strong relationships with stakeholders across departments.

Implement stakeholder engagement and communication plans.

Collect and analyze stakeholder feedback to improve collaboration and service delivery.

Act as a liaison between the Business Unit and the NIMSC Front Office.

Coordinate with the NIMSC Staff Management Office to support recruitment and contracting activities.
Business & Office Administration
- Plan and manage executive-level meetings, including agenda preparation, format, and expected outcomes.

Track action points, risks, and issues and follow up with leadership teams.

Manage confidential and sensitive information appropriately.
-
Contribute to improvements in office administration processes and best practices.
Required Qualifications
-
Bachelor’s degree from a recognized university in a relevant discipline.
- Active NATO Security Clearance.

Minimum 2 years of relevant experience in management support, PMO, or similar professional functions.

Experience supporting project monitoring, reporting, and coordination activities.

Ability to manage multiple priorities and work effectively under pressure.

Strong analytical, reporting, and communication skills.

Experience drafting reports, policies, or briefing documents.
Desirable Experience

Experience working within structured governance or international organizations
